Ask B-Dog

Privacy Policy

Last updated: October 24, 2026

Draft pending attorney review. The customer-reminder sections below are also pending attorney review and do not apply until reminders are turned on for your account.

This policy explains what Ask B-Dog (“B-Dog”, “we”) collects, why, and what control you have. We keep it plain on purpose.

What we collect

Your account: your email address, your business name, and your time zone.

If you joined our earlier waitlist: your email address and, if you chose to share them, your industry, whether you use QuickBooks Online, your biggest money headache, and how you found us (for example, a referral code).

QuickBooks data we read

If you connect QuickBooks Online, B-Dog reads only these things:

  • Customers: names, email, phone, and balance.
  • Invoices: number, dates, amounts, and balance.
  • Payments: dates, amounts, and which invoices they paid.
  • Company info: your company name and basic settings.

B-Dog only reads this data. It never changes your books. We do not collect bank or card numbers.

How we use it

We use your QuickBooks data to build your Money Leak Report and reporting emails you explicitly subscribe to. If you turn on customer reminders, we use invoice facts to draft reminder emails to your customers. Every reminder waits for your OK before it goes out. We do not sell your information. We do not share it with anyone except the service providers listed below, who help us run B-Dog. We use account details, and waitlist details if you joined our earlier waitlist, to contact you about B-Dog, such as your report and founding spots.

Customer reminders and replies

When reminders are on, we email your customers at the billing address in QuickBooks on your behalf, from your business name. If a customer replies, the reply comes to a B-Dog address, we forward it to you, and we keep its text so you can review it in the app. B-Dog never collects or holds payments.

When reminders are on, B-Dog uses Anthropic’s AI in two places: it writes the wording of reminder drafts, and it suggests a label for customer replies (for example, a promise to pay or a dispute). For drafting, Anthropic receives only your business name, your name, the customer’s first name, how many invoices are open, how many days late they are, the payment method, and a short summary of how that customer usually pays. Dollar amounts, invoice numbers, email addresses, and QuickBooks memo and note fields are never sent; B-Dog fills in the facts itself. For reply labels, Anthropic receives the reply’s subject and text. Reply labels are suggestions only and take effect when you confirm them. Anthropic’s commercial terms say it may not train its models on this data.

Storage and security

  • Data travels over HTTPS.
  • B-Dog encrypts your QuickBooks connection keys, your QuickBooks company ID, and customer replies before storing them. Our database provider encrypts everything it stores.
  • Access to your data is limited to your account.
  • Our own admin access requires multi-factor authentication.

Deleted data can remain in our database provider’s backups until they expire. See our Security page for details.

No system is perfectly secure, but we take care to protect what you trust us with.

How long we keep it

If you disconnect QuickBooks, we delete your synced data 30 days later. If your QuickBooks connection stays broken for 30 days without being reconnected, we delete your synced data then. If you delete your data in Settings, we delete it right away. We keep your account details and optional private company logo while your account is open. Disconnecting pauses report emails. Report snapshots and feedback are removed with imported-data deletion, or expire after 365 days through our scheduled cleanup. Deleting imported QuickBooks data does not delete your Stripe purchase records. Local receipt-email attempt metadata expires after 90 days; Stripe hosts the authoritative billing records. Emails already sent or in flight cannot be recalled.

Reminder records, customer replies, and approval history are deleted with your imported data. Reply text is cleared 90 days after you review it. When a customer unsubscribes from reminders or marks one as spam, we keep a one-way hashed form of their email address, even after you delete your data or reconnect a different QuickBooks company, so B-Dog never emails them again. The hash cannot be read back as an address. Our email provider keeps copies of messages it sends and receives under its own retention terms.

Who helps us run B-Dog

  • Intuit: QuickBooks, which you connect to B-Dog. You sign in on Intuit’s page; B-Dog only sends read requests.

  • Vercel: hosting. Every page and request passes through it, including sign-ups.
  • Stripe: payments and provider-hosted billing documents. Receives your name, email, card details, and billing history.
  • Resend: email delivery, and receiving customer replies to reminders. Receives the full content of every email B-Dog sends and every customer reply.
  • Anthropic: AI wording for reminders and suggested labels for customer replies, when reminders are on. Receives only the details described above.
