How do I remind a customer to pay without sounding pushy?
Updated · Ask B-Dog
Why a reminder before the due date works
Most late payments aren't on purpose. The invoice got buried, the person who pays the bills was out, or the customer simply forgot. A reminder that shows up before the due date fixes all three without anyone feeling chased.
It also sets the tone. A customer who gets a polite heads-up learns that you keep track of invoices, so they're less likely to let the next one slide.
What to put in the reminder
Keep it to a few lines. Everything the customer needs to pay should be in the message itself.
- The invoice number and the job it was for ("furnace repair on Oct 3")
- The amount due and the due date
- A direct pay link, so paying takes one tap
- A thank-you, and your name, so it sounds like a person
A template you can copy
Swap in your details. Read it out loud once; if it sounds like you, it's ready.
Hi Dana, just a quick heads-up that invoice #1042 for the furnace repair ($480) is due this Friday. You can pay here: [pay link]. Thanks again for choosing us! Mike, Lakeside Heating
When to send it
About three days before the due date is a good default. Earlier than a week and it gets forgotten again; the day of can feel like pressure.
Send it at a normal business hour on a weekday, by email or text, whichever the customer uses to talk to you.
Mistakes to avoid
- Hinting they might not pay ("just making sure you don't forget")
- Making them hunt for the invoice or call to pay
- Sending the same reminder to every customer, including ones who always pay early
- Mentioning late fees in a reminder for an invoice that isn't late yet
Common questions
Is it rude to remind a customer before an invoice is due?
No. A short, friendly heads-up before the due date is a courtesy, and most customers appreciate it. It only feels rude if the wording suggests you expect them not to pay.
Should I send a payment reminder by email or text?
Use whichever channel the customer already uses to talk to you. For many homeowners that's text; for property managers and offices it's usually email.
How many days before the due date should I send a reminder?
About three days before is a good default. It's close enough to be acted on and early enough that it doesn't feel like pressure.
